Description

Perimeter Security Partners is looking for a motivated Contracts Administrator to provide administrative support to multiple Project Managers while also managing the company’s travel planning and expense tracking for deployed technicians across the United States. The Contracts Administrator will support the Service team by drafting reports from technician notes; obtaining internet travel quotes and preparing cost estimates for travel expenses; reserving hotel rooms and airline tickets; negotiating lodging rates with individual hotel chains; and compiling travel expense reports for Government review after travel is completed. The Contracts Administrator will also provide some assistance with the sourcing and procurement of materials, arranging shipping, and other similar tasks as directed. This position will work closely with the entire Maintenance and Service Project Management and report to the Senior Service Project Manager.

Duties:

· Review electronically filed technician reports after all completed work and extract the appropriate information into the required reporting format for review by the responsible Project Manager.

· Obtain multiple quotes for all planned travel expenses and prepare estimates for Government review.

· Negotiate standard rates with select hotels in the vicinity of each PSP contract location.

· Reserve hotel rooms and book air travel in accordance with company guidelines for multiple technicians each week.

· Prepare travel expense reports for Government review and approval, to include collecting receipts, calculating mileage, tying expenses to specific projects, and completing the necessary forms to secure timely reimbursement for the company.

· Assist the Project Manager with the development of repair and upgrade proposals by gathering material and equipment quotes and assisting with the drafting of proposals using the specified form.

· Assist the Project Manager with the distribution of materials and equipment for each maintenance and repair project by coordinating technicians to pick up materials at PSP’s warehouse or by arranging shipping to the job site.

· Assist the Project Manager with the drafting of periodic contracting reports, to include monthly status reports, weekly service order summaries, and similar documents.

· Perform other similar administrative duties as assigned.

Requirements, Skills, and Qualifications:

· An associate’s or bachelor’s degree in business administration, management, communications, or a related technical field is preferred.

· 2 or more years of experience in a Professional Administrative role is required.

· Excellent verbal and written communication skills with impeccable attention to detail.

· Advanced proficiency with MS Excel, Word, and other MS Office applications is required.

· Ability to work independently and remain organized while prioritizing multiple concurrent tasks, as well as critical thinking and problem-solving skills are required.

· Ability to consistently deliver completed tasks within strict deadlines.

· Must possess a valid driver’s license.

· Must be able to work in the United States without sponsorship.

Physical Requirements:

· Ability to sit or stand at a computer workstation for several hours at a time.

Additional Information:

· Duties are performed primarily in PSP’s Brentwood, TN office.

· Occasional travel to vendor locations, work sites, and off-site meeting locations in the United States with all related expenses paid for by the company.

Benefits:

· Full Time / Hourly pay ($40,000-55,000, depending on education and experience)
