Overview
The Service Coordinator Supervisor will oversee Service Coordinators in their respective office location, while also performing the standard duties of a Service Coordinator. This position requires a strong leader who will train, mentor, and guide Coordinators in their region, ensuring efficient operations and adherence to company standards. The Supervisor will collaborate and present a unified front with the Area Supervisor of technicians to enhance overall team performance and do their part in maintaining positive cash flow within the department.
Responsibilities
Supervision and Leadership:
- Act as the team lead for the Coordinators in the San Jose office.
- Train, mentor, and provide guidance to Coordinators to enhance their performance and professional development.
- Ensure Coordinators are effectively executing their job duties and adhering to company procedures.
Service Coordination Duties:
- The Service Coordinator Supervisor will still be tasked with coordinating a team of Service technicians. Therefore, this position will include all duties of a Service Coordinator.
Performance Management:
- Review and approve timecards for Coordinators.
- Monitor overall area performance related to Work in Progress (WIP) Reports, ensuring timely reviews of work orders each month.
- Assess, identify, and remedy any bottlenecks in the Work in Progress that may hinder completed work orders from being reviewed and sent to billing.
- Address performance issues and provide constructive feedback to Coordinators as needed.
- Assist in the establishment, implementation, and supervision of the Coordinator's duties, baselines, and expectations of the coordinator team.
Collaboration:
- Work closely with the Technician Area Supervisor to align team efforts and achieve regional goals, including ensuring work orders are marked complete by the field Technicians and sent to Coordinators for review.
- Collaborate with the Coordinators, Supervisors, and Senior Coordinators in other regions to develop best practices, processes, and procedures.
- Communicate regularly with the service department and technicians to ensure smooth operations.
Training and Development
- Participate in training and mentoring all coordinators on a rotational basis during a monthly training session with the entire coordination team.
Adaptability and Team Engagement
- As a key position of a growing Service department, this position requires flexibility, with team members often taking on various roles. The Service Coordinator Supervisor is expected to foster a collaborative spirit, demonstrating a willingness to assist with additional tasks and responsibilities as needed, even if they fall outside the traditional scope of the job title or description. This adaptability is crucial for supporting the overall success of the department.
Required Skills/Abilities and Qualifications
- Working knowledge of Microsoft Office Suite
- Experience with BuildOps service management software or similar field service platforms preferred
- Strong written and verbal communication skills
- Excellent problem-solving, organizational, and customer service skills
- 5+ years of experience in HVAC service coordination or a related role within the HVAC industry
- Strong understanding of HVAC systems, equipment, and terminology a plus
