PROJECT ACCOUNTANT

Reports to: Project Controller

FSLA: Exempt

Objective: The project accountant position is accountable for monitoring the progress of projects, investigating variances, tracking project compliance, assessing project risk management and ensuring that project billings are issued to customers and payments collected. This position requires attention to detail and proficiency with financial systems and Microsoft Office. Must meet tight deadlines and perform a multitude of accounting duties.

RESPONSIBILITIES

    • Prepare and process journal entries.
    • Financial Reporting.
    • Understand Generally Accepted Accounting Principles (GAAP) and practices.
    • Maintain and improve the company’s internal controls.
    • Participate in annual project audits.
    • Sharing additional department duties including but not limited to; daily mail, sales and use tax compliance list, subcontractor billing list, reconciling of vendor statements and running processes from ASAP to Timberline.
    • Responsible for the set up and maintenance of projects in accounting software for integration into project management software.
    • Ability to work on multiple projects and adhere to company financial calendar deadlines.
    • Enter or update job set up information in Timberline for project status, address, staffing, etc.
    • Update specific project financial information including set up of project cost codes, categories and descriptions, including processing any changes to accounting software.
    • Review and enter project budget information into accounting software to integrate with project management software and reconcile to the contract schedule of values.
    • Enter contractual Schedule of Values into accounting software and set up billing format for monthly Owner billing.
    • Track, receive and enter all subcontractor and vendor billing for Project Manager review and approval. Review subcontractor billing related to subcontract value, previous billed and other contractual submission requirements and ensuring that sub pay application matches their backup.
    • Review vendor invoices for sales tax compliance to conform with State mandates.
    • Track subcontractor sales and use tax compliance, create sales tax invoices as needed and work with accounting team to hold appropriate amount from payments if necessary.
    • Monitor vendor holds, review report sent out on Mondays and follow up on any changes.
    • Prepare draft Owner billing, including all applicable backup and required documentation and meet with Project Managers to review submission.
    • Attend Owner billing meetings as needed.
    • Attend project update meetings with project team, both on-site and off-site, including kick off and closeout.
    • Investigate any unbillable cost and report any opportunities for additional billings to management. Review and reconciliation of cost should occur during preparation of monthly owner billing.
    • Work with PM to finalize all project related accounts receivable in accordance with financial schedule.
    • Monitor cash receipts and prepare Cash Requirements needed for payments to subcontractors and vendors. Review Cash Req prior to check run with PC and advise of any non-compliant vendors including sales and use tax.
    • Track and facilitate project financial closeout with project team.
    • Assist with project audits as needed.
    • Provide year-end support of auditor requirements, which may include research and reconcilement.
    • Ad hoc reporting as needed.

Warranty, Small Projects, Preconstruction:

    • Set up, track cost and bill per above project standards as assigned.
    • Ensure all deliverables are accurate and timely.

Skills:

    • Microsoft Word, Excel, Windows, Outlook and Access
    • Document Imaging Software
    • Knowledge of Accounting Software
    • Adobe PDF/Bluebeam

    • Bachelor's degree preferred or equivalent combination of education and experience.
    • Three or more years of relevant experience.

    • Strong interpersonal skills for interacting with project teams, vendors and subcontractors, accountants, clients, and upper management.
    • Good planning and organizational skills to balance and prioritize work.

The employee lifts, pushes, pulls or carries objects; and uses abdominal and lower back muscles to provide support over time without fatigue.

The position requires:

    • Good manual dexterity (hand, hand with arm, two hands) and multi-limb coordination
    • The ability to quickly move arms and legs
    • Talking and hearing, both in person and by telephone

Specific vision abilities required by this job include close vision, distance vision and the ability to adjust focus. The employee must have excellent stamina.
